A webhook is a way for apps to communicate in real-time by sending data when specific events happen, automating the process without manual intervention.
For example, a webhook can notify your CRM whenever a new user message is received by the chatbot.
Webhook integration in YourGPT allows you to connect your AI agent with other platforms to send and receive real-time data. This guide explains how to add, manage, and use webhooks to enhance your AI agent’s functionality.
How to Set Up Webhook?
To setup webhook follow these below steps:
Step 1: Accessing the Integrations

To begin setting up a webhook, go to the Integrations section in YourGPT:
On the left-hand sidebar, click on Integrations.
Locate and select the Webhook Integration option from the list of available integrations.
Step 2: Adding a New Webhook

Once in the Webhook Integration area:
Click on the New Webhook button.
A pop-up window titled New Webhook will appear. Here, you will be able to configure the details of your webhook.
Step 3: Configuring the Webhook

In the New Webhook pop-up, you need to complete the following fields:
Webhook URL: Enter the URL where you want the webhook to send data.
Select Events to Subscribe: Click on Add Event to choose the specific events that will trigger the webhook. Available events include:
Message Sent: Triggers when a message is sent by the chatbot.
Message Received: Triggers when a new message is received from a user.
Escalated to Human: Triggers when the user requests a human agent.
Contact Created: Triggers when a new contact is created.
You can add multiple events depending on your requirements.
Step 4: Enabling the Webhook
After configuring the details:
Toggle the Enabled switch to activate the webhook.
Once everything is configured, click the Create button to save the webhook settings.
Step 5: Managing Webhooks
To edit or remove an existing webhook:
Return to the Webhook Integration section under Integrations.
You will see a list of configured webhooks. Select the webhook you want to modify or delete.
By following these steps, you can set up webhook integrations to extend the functionality of your chatbot, making it more dynamic and connected to your workflow.
Use Case: Automating Lead Management
Scenario:
Real estate agencies often receive inquiries from potential clients through chatbots on their website or social media platforms. These leads need to be collected, categorized, and shared with the sales team quickly to avoid losing opportunities.
Using YourGPT’s webhook integration, agencies can automate the process of collecting leads and sending them to a Google Sheet or a CRM like Zoho CRM via tools like Zapier or Pabbly. This ensures a seamless handoff of leads to the sales team without manual intervention.
Problem:
Agents struggle to manually keep track of leads coming from chatbots, often leading to missed follow-ups or disorganized lead information.
Solution:
With webhook integration, every time a user submits their details in the chatbot (e.g., name, email, property interest), the data is automatically sent to a Google Sheet or CRM. This makes lead management organized and ensures real-time updates for the sales team.
How It Works:
Chatbot Interaction:
A potential client interacts with the chatbot on the real estate website. The chatbot collects details like:Name
Email address
Phone number
Property type of interest (e.g., residential, commercial)
Preferred location
Trigger Event:
Once the chatbot captures this information, it triggers a webhook event, such as Contact Created.Webhook Integration:
Use YourGPT’s webhook to send this lead data to (Zapier, Pabbly, or Make).
Configure the workflow to connect YourGPT with your Google Sheet or CRM (e.g., Salesforce, Zoho CRM or any other).
Action:
Zapier or Pabbly processes the data and appends it to a Google Sheet row or creates a new lead in the CRM.
Additionally, a notification can be sent to the sales team via email or messaging apps like Slack, discord.
Example Workflow Using Zapier:
Set Up Trigger in Zapier:
Choose Webhook by Zapier as the trigger.
Copy the webhook URL generated by Zapier and paste it into YourGPT’s webhook URL field.
Configure the Workflow:
Select Google Sheets or your CRM (zoho) as the action app.
Map the fields (e.g., Name, Email, Phone Number) from the chatbot to the destination app.
Test the Workflow:
Submit a test lead via the chatbot to ensure it is correctly added to the Google Sheet or CRM.
Go Live:
Enable the webhook and let it automatically process all future leads.
Benefits for Real Estate Agencies:
Instant Lead Tracking: Ensure all leads are documented in real-time without delays.
Error-Free Data Management: Eliminate manual data entry errors.
Streamlined Follow-Ups: Sales teams have immediate access to organized lead information, enabling timely follow-ups.
Non-Technical Setup: Zapier and Pabbly make it easy to integrate systems without requiring coding knowledge.
